This document concerns the processing and protection of personal data related to Users of the website: www.essenceexpert.com (hereinafter referred to as the “Website”). By using the www.essenceexpert.com website, you accept the rules contained in the Privacy Policy available on this website.
I. General Information
Hygeaint Sp. z o.o., based in Warsaw (also referred to as “Hygeaint” or “Company”), as the owner of the www.essenceexpert.com website, reserves the right to make changes to the Privacy Policy, which may be influenced by the development of internet technology, potential changes in data protection law, and the development of our Website. We will inform you of any changes in a clear and understandable manner. Any changes to the Privacy Policy will not affect the basic principle of the Company, i.e., Hygeaint does not sell or share personal data of Clients/Users of the website (unless such an obligation arises from the provisions of generally applicable law).
Hygeaint Sp. z o.o. respects the right to privacy of all Users of the www.essenceexpert.com Website, especially ensuring the protection of their personal data, and applies appropriate organizational, technical, and technological solutions to prevent third-party interference with Users’ privacy. The Company’s actions are aimed at guaranteeing Users a full sense of security at a level appropriate to the provisions of applicable law, particularly the following regulations:
- Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation),
- The Act of May 10, 2018, on the Protection of Personal Data,
- The Act of July 18, 2002, on the Provision of Electronic Services,
- The Act of July 16, 2004, Telecommunications Law, as well as all other relevant national and EU legal acts related to the protection of personal data.
Hygeaint informs that within the Website, external links may be placed to enable Users to directly access other websites or, while using the Website, Cookies from other entities, especially providers such as Facebook, Twitter, Google, Instagram, LinkedIn, may be placed on your device to enable you to use the functionalities of the Website integrated with these services. Each provider specifies the rules for the use of Cookies in its privacy policy, and therefore Hygeaint has no influence on the privacy policies or use of Cookies by these providers.
For security reasons, Hygeaint recommends that before using the resources offered by other websites or services/sites, each User should review the privacy policy and Cookies policy document if they have been made available, or in the absence of such, contact the administrator of the given website or service/site to obtain information on this matter.
II. Glossary of Terms
- Cookie – a small piece of information stored by the server on the User’s computer, which the server can read when reconnecting from that computer.
- System log – information that the User’s computer transmits to the server each time it connects, which may include various data (e.g., IP number) from which the location of the connection can be determined more or less precisely.
- IP Address – an individual number that usually each computer connected to the Internet has; the IP number may be permanently assigned to a given computer (static) or assigned to it for a given connection (dynamic).

IV. Data Collection
In the context of using the Website by the User, we store http requests directed to the server. The resources viewed are identified by URL addresses and concern:
- the public IP address of the end device from which the request was sent,
- the User’s station name – identification carried out by the http protocol, if possible,
- the User’s name provided during the authorization process,
- the time of the request,
- the first line of the http request;
- the http response code,
- the amount of data sent by the server,
- the URL address of the page previously visited by the User (so-called referrer link) – in the event that the transition to the Website was made through an external link,
- information about the User’s browser,
- information about errors that occurred during the execution of the http transaction.
The data indicated above is not associated with specific individuals browsing the Hygeaint Website.
The Website does not automatically collect any information except for the information contained in Cookies. Such information is used, among others, to manage the Website, detect potential security threats, study aggregated User traffic within the Website, and for statistical purposes.
However, the User may be asked to provide the following personal data in the context of using the Website’s functionalities:
- first and last name,
- company name,
- email address,
- phone number,
- content of the contact message.
Providing the above data is voluntary; however, without providing it, it may not be possible to use the Website’s functionalities that require it.
V. Processing of Personal Data
The Administrator processes your personal data for the following purposes and based on the following legal grounds:
- To respond to a query or handle a request submitted to the Company – where the legal basis for processing the data is the legitimate interest of the administrator, i.e., Article 6(1)(f) of the GDPR.
- For employee recruitment – where the legal basis for processing the data is the candidate’s consent, i.e., Article 6(1)(a) of the GDPR. We process data for 12 or 24 months, depending on the decision to participate in future recruitments. The scope of data should be adequate to the information required by labor law; broader information will not be considered by the Administrator.
- To establish and execute cooperation with sole proprietors – where the legal basis for processing the data is the performance of the contract or the taking of actions related to the conclusion of the contract, i.e., Article 6(1)(b) of the GDPR; fulfillment of obligations arising from tax and accounting regulations, i.e., Article 6(1)(c) of the GDPR; pursuing potential claims; ensuring the Company’s security, where the legal bases are Article 6(1)(f) of the GDPR.
The scope of data is adequate to the data entered in CEIDG and the personal data of employees or associates provided by the contractor.
- To establish and execute cooperation with legal entities – where the legal basis is the performance of the contract or the taking of actions related to the conclusion of the contract, i.e., Article 6(1)(b) of the GDPR; fulfillment of obligations arising from tax and accounting regulations, i.e., Article 6(1)(c) of the GDPR; pursuing potential claims; ensuring the Company’s security, where the legal bases are Article 6(1)(f) of the GDPR.
The scope of data is adequate to the data entered in the KRS and the personal data of employees or associates provided by the contractor.
- For purposes related to maintaining or initiating business contacts – the Administrator may process data received, for example, during business meetings within the scope contained on received business cards, where the legal basis is the legitimate interest of the Administrator, i.e., Article 6(1)(f) of the GDPR, consisting of building a network of contacts.
The scope of data is limited to the contact details provided by the data subject.
Your personal data will be stored for the duration of the contract and, after that period, for the period of limitation of potential claims. Moreover, your personal data will be stored for the period required by tax and accounting regulations, and in the case of employees employed under labor law – for the period required by those regulations.
Providing your personal data is voluntary but necessary to ensure contact with the Company.
In connection with conducting activities requiring the processing of personal data, personal data may be disclosed to external entities, including, in particular, providers responsible for IT system maintenance, entities providing accounting services, legal advisors, postal operators, marketing agencies, or recruitment agencies.
The Administrator reserves the right to disclose selected information concerning the Data Subject to competent authorities or third parties who submit a request for such information based on an appropriate legal basis and in accordance with the provisions of applicable law.
Detailed information on the processing of personal data of persons employed or cooperating with the Company is available in publicly accessible places at the Company’s headquarters and facilities.
User Rights Regarding the Administrator in the Context of Data Processing
In the context of the data processing process, the User has the following rights:
- access to data,
- data rectification,
- data deletion or processing restriction,
- data portability,
- objection,
- information provided upon request – about whether data is processed and other matters specified in Article 15 of the GDPR, including the right to a copy of the data,
- information about data breaches,
- filing a complaint with the supervisory authority for data protection – the President of the Personal Data Protection Office (ul. Stawki 2, 00-193 Warsaw).
VI. Use of Cookies
The Website, in accordance with Article 173 of the Telecommunications Law, uses Cookies, which are IT data, particularly text files, stored on the User’s end device. Cookies typically contain the name of the website they originate from, the time they are stored on the end device, and a unique number.
Cookies are used to:
- facilitate the User’s use of the Website during their browsing;
- subsequently associate the User in the event of reconnecting the Website with the device on which they were saved;
- create statistics that help to understand how Users use the Website, which allows improving its structure and content;
- adjust the content of the Website’s pages to specific User preferences and optimize the use of the Website, tailored to the User’s individual needs;
Information is not combined with the personal data of the Website User and is not used to determine the User’s identity.
